Exhibitor Registration
A full Exhibit Booth at NCASE is only $599! This is a bargain on a way to introduce your
company/organization to a new world of contacts at the nation’s leading
aviation and space education conference! We also have Table Displays
available.
Exhibit Booth Details
Each 10’
x 10' booth space will include:
8' back drape

service/product 20-word description in conference program guide. (Please
supply a PDF of company logo)
Security is provided
in the exhibit hall and foyer area during closed hours

exhibitor

As an alternative
display opportunity for your company or organization, a limited number of
skirted tables will be available in the exhibit hall for only $175.

Space Availability
Space
in the exhibit hall is limited! Register on-line today to guarantee
your company/organization will be represented. Exhibit booth and
Table-display opportunities are on a first-come, first-serve basis. No
exhibitor registrations will be accepted after September 8, 2008.
Optional Services
Traditional conference
services and supplies will be available through the conference decorator.
Details will be provided to exhibitors with the exhibit package, including complete shipping
instructions and required labor information. Electrical services, phone lines, Internet and
audio-visual services must be ordered though the hotel at an
additional charge. Forms for these services will also be supplied by the
decorator. We suggest you bring your own extension cords and power strips or additional charges will be incurred.
Security
Security will be provided when the exhibit hall area is closed. Each
exhibitor is solely responsible for his/her own exhibit material and should
insure against loss or damage. All property of an exhibit is understood to
remain in the exhibitor’s own care, custody, and control in transit to or
from or within the confines of the exhibit hall.
Table Displays will be located in the open-foyer area and not in the
secured, locked exhibit hall. Security measures will be enforced, keeping
these limitations in mind.
Building and Equipment
Exhibitors or their agents must not injure or deface the walls or floors of
the building, the booths, or the equipment in the booths. When such damage
appears, the exhibitor is liable to the owner of the property so damaged.
All materials used in decorating must conform to National Electrical Code
safety rules. Combustible materials or explosives are not permitted in the
exhibit area.
Shipping Materials
Materials and displays may be shipped in advance to the decorator.
Materials and displays shipped to the hotel should be noted in attention to
the company/organization’s representative’s attention. The National
Conference on Aviation and Space Education and the National Coalition for
Aviation Education (NCAE) will not be responsible for pickup, delivery, or
additional charges of any exhibitor packages. The hotel and/or the
decorator must be notified for specific shipping instructions.
Liability
Neither the National Conference on Aviation and Space Education; the
National Coalition for Aviation Education (NCAE); the hotel, employees,
officers, agents, directors, or representatives are liable for any damage or
loss that may occur to the exhibitor or the exhibitor’s employees or
property from any cause whatsoever. Insurance and liability are the full
and sole responsibility of the exhibitor.
Payment – Cancellations – Refunds
Full
payment or a deposit of $200 per booth is required with all exhibitor
registrations. The remainder of the booth fee will be due no later than
September 8, 2008. A $50 processing fee will be deducted from refund
due to cancellation for any reason. Cancellations received after August
4, 2008 will result in a $150 charge, deducted from the refund. No
refunds will be issued after September 8, 2008.
We also encourage regular Attendees to
register early so we can guarantee them space at this conference and its
events! There will be no
penalty if one must cancel a regular Attendee registration or any
events by September 30.
You will receive a full refund.
After September 30 there will be a small
refund and cancellation penalty of
$25 for canceled Attendee registrations. And after
September 30 we cannot refund Brewer Luncheon, or Crown Circle reservation
fees because your food order will have been placed with the hotel.
